The true cost of a trade show lead

Stand space is only the start. Here's how to work out what each event lead really costs you, and why follow-up decides whether that spend pays off.

Ask most teams what a trade show cost and they'll quote the stand booking. But the stand is usually only one line on a much longer bill, and the number that really matters isn't the total spend. It's what you paid for each conversation, and how many of those conversations turned into pipeline.

What goes into the cost

  • Space and build: stand booking, design, furniture, power, graphics and shipping.

  • People: travel, hotels and meals for everyone staffing the stand, plus the time they spend away from their day job.

  • Promotion: sponsorships, pre-show campaigns, printed collateral and giveaways.

  • Tools and data: lead retrieval scanners, apps and any post-show data cleanup.

Working out your cost per lead

Add up every line above and divide by the number of qualified conversations you had, not the number of badges you scanned. Most teams are surprised by the result. Once you include staff time and travel, a single qualified conversation can easily cost more than a month of paid search clicks.

For a more useful number, take it one step further: divide the total by the meetings or opportunities that actually came out of the event. That's your true cost of acquisition from the show.

Where the value leaks away

The spend happens before and during the event. The return happens afterwards, and that's where most of it is lost.

  1. Slow response. By the time a follow-up goes out a week later, the prospect has spoken to plenty of other vendors.

  2. Lost context. Notes scribbled on a badge scan or business card rarely survive the trip home.

  3. Generic emails. A follow-up that doesn't mention what you discussed reads like just another cold email.

  4. Manual CRM entry. Leads sit in spreadsheets until someone has time to import them, and some never make it.
